Tips for being more productive with Notes R5 mail (continued)

When researching Notes Minder on Notes.net, I read that some people did experience problems using the program, but for me it's worked great and saved me valuable time as well. Also, to avoid being prompted twice for your password, go to choose Tools->User ID from the File menu. Then, at the bottom of the Basics section, check the box that says, "Don't prompt for a password from other Notes-based programs."

Organizing your Notes and Domino mail file folders in R5
I've been meaning to organize my R5 mail file folders for a while, and I finally got around to it earlier this week. At first, the lazy (and intuitive side of me) tried right clicking on a folder to see if I could cut it and paste it into another folder, but no menu appeared. Then I tried to see if I could drag and drop folders, but to no avail. When I looked further into how to do this, I found that there are a couple of different ways of going about it that I'll describe below. Please note that I tested these methods using R5 only.

First, if you're not going to move a lot of folders, you can simply click on the folder you want to move and select Folder Options->Move from the Actions menu. You can also use the same procedure to rename, design, or delete folders as well.

If you think you might need to move folders often, you can create a SmartIcon to make the job even easier. Simply choose Preferences->SmartIcon Settings from the File menu, choose one of the generic macro buttons on the left that you'd like to use, and drag it over to your list of SmartIcons on the right. Select the Edit Icon button, select the icon you just moved, change its name, and then click on Formula. For the formula, use @Command [FolderMove]. This will bring up the move folder dialog box and is equivalent to selecting Folder Options->Move from the Actions menu.

I just want to mention one little caveat that comes from my own experience organizing my mail file folders. I knew I was going to have some time offline to organize my mail file folders, so I replicated my mail file locally right before leaving the office. I then proceeded to organize all of my folders, taking about an hour to do so (I have a lot of folders). To my dismay, when I came back to the office the next morning and replicated, none of the changes I made to my folders appeared in the replica of my mail file on the server. I tried replacing the design of the mail files, compacting them, and even clearing the replication history, but nothing happened. What I discovered when I looked at the advanced replication settings of my mail database on the server was that, even though I was a Manager of the database, it was set to not replicate incoming Forms or Views (and therefore Folders). I asked our system administrators about this, and they said it was a security measure they imposed to make sure that people don't change or corrupt the design of their mail files. I simply clicked this box, replicated, and then everything showed up just fine.
